Job Summary:
Provides a variety of administrative and executive assistance in headquarters office. Provides direct assistance to Directors and Officers of company. Manages IT systems and cloud-based accounts. Is the first point of contact for clients, vendors, and sales. Maintains various records, files and related filing systems. Provides general support in the areas of travel bookings, placing orders and managing logistics. Tracks expenditures related to job.
Primary Responsibilities:
Manage IT and web-based programs, email, and file storage for company.
Act as IT help desk for all employees
Updates website with new employee profiles, completed projects and upcoming projects
Answer phone and in-person inquiries, and screens incoming correspondence and deliveries and route to appropriate staff members if required
Provide executive support for all Directors and the CEO, such as correspondence, meetings, scheduling, travel, etc.
Create strategy for client communication and assist CEO and Sales Department when necessary in creating, editing and sending RFPs
Create final documents from rough draft or general instruction, as directed by superiors
Make travel and lodging arrangements for staff, and provide support for all staff prior to and during travel as necessary to ensure travel is successful and difficulty-free
Develop and maintain filing systems and registers for all company records, including: general records, project and client files, materials and equipment orders, travel history, etc.
Manage office supply inventory and re-order items when necessary including any shipping material
Point of contact for any Health Insurance related questions for Bonsai.
Create and manage any workers comp claims
Manage contractors licenses to ensure renewals are processed before expiration dates
Provide proper communication and follow-up support required to ensure all company deliveries are correctly and expeditiously received
Assist in HR functions by receiving and scheduling interviews, scheduling and record keeping of performance evaluations, creation of disciplinary paperwork, record keeping for all HR related paperwork and forms, etc.
Secondary Responsibilities:
Acquire and maintain company organizational memberships as well as certifications and memberships for Directors and CEO
Coordinate company retreats, trade shows, and conferences
Perform Employee orientation in the areas of web-based programs, travel logistics, etc.
Order company uniforms and gear and distribute as requested
Arrange meetings and schedule appointments for Directors and Officers working at HQ
Draft routine correspondence such as thank you letters, client appointment letters and internal memoranda
Provide direct executive assistance to CEO and GM
Job requirements:
B.S. in Business or related field
Three (3) years recent related experience
Or an equivalent combination of education, training and experience
Strong Team Player who is a self-starter and can work independently
Proficient with Microsoft Office programs
High level of complex IT knowledge; can manage accounts and files in cloud based services
Preferred skills and abilities:
Front of House experience
Strong organizational and time management skills
Strong communication skills
