Responsibilities:
  • Under limited supervision, performs moderately complex clerical invoicing duties, which may include maintenance and preparation of invoice approval records.
  • Audits invoices against purchase orders and subcontracts.
  • Completes documentation to support accounts payable and other disbursements.
  • Codes cost data distribution to the correct subcontract line item.
  • Traces, identifies, and adjusts records as appropriate.
  • Maintains purchase order/subcontract files and records (electronically).
  • Prioritizes and processes invoices in a timely manner.
  • Enters requisitions into computer purchasing system (JAMIS) and Share Point database.
  • Amends purchase orders in JAMIS.
  • Enters OSHA information into an Access database.
  • May write and/or update desktop procedures for assigned tasks.
  • Run procurement reports as necessary.
  • May use government purchase card, as assigned.
  • Assures accuracy of information as related to purchase orders/subcontracts.
  • Works closely with accounts payable.
  • Other duties as assigned.

Requirements:
Minimum Qualifications:
  • High school diploma, or equivalent, and at least 3 years experience required. 
  • Ability to select from a variety of established procedures to accomplish assigned tasks.
  • High level of attention to detail on repetitive tasks involving numbers.
  • Intermediate computer skills, specifically with a procurement system, JAMIS is a plus.
  • Ability to apply moderate and some advanced clerical skills.
  • Ability to perform duties and tasks that are varied but standardized.
  • Ability to perform some more advanced functions.
  • Ability to resolve routine questions and problems while referring more complex questions to higher levels.
  • Level of language skills, mathematical skills, communication skills, reasoning ability and computer skills necessary to perform essential functions of the job.

  • Format documents in Microsoft Word using templates.
  • Edit engineering scope of work narrative. 
  • Create and apply style guides.
  • Generate, create links, and format Table of Contents.
  • Create indexes using concordances. 
  • Format tables and documents to match client specifications.
  • Convert documents to .PDF files and embed fonts.
  • Maintain formatting consistency.
  • Provide copy editing and proofreading of documents.
  • Communicate with supervisor on deadline and/or challenges with meeting deadlines.
  • Must maintain document version control, tracking changes and layout of document in template form.

Requirements:
  • Bachelor’s degree in Language, business, journalism, or related field. Experience may be substituted. 
  • 3 plus years of experience in a document production environment requiring skills in document formatting.
  • Advanced knowledge of Microsoft Word.
  • Editing knowledge.
  • Must be proficient in Microsoft Word and Adobe Professional.
  • Advanced computer skills, including the use of software to create documents, spreadsheets, timelines, and reports.
  • Strong grasp of grammar, spelling, and punctuation.
  • Flexibility to work additional hours (evening and weekend) as required by workload.
  • Ability to prioritize work to balance multiple projects and meet tight deadlines.
  • Ability to pay attention to detail and work independently with minimal supervision.

Job Summary
Manages the key accounting requirements of a unit/organization/small single facility by conducting internal and external accounting duties personally or through subordinates. Responsible for directing the unit/organization’s/small facility’s accounting functions, including the establishment and maintenance of accounting principles, practices, procedures, internal control, and initiatives. Prepares financial reports and presents findings and recommendations to management.
Essential Duties & Responsibilities
– Maximizes return on financial assets by establishing financial policies, procedures, controls, and reporting systems.
– Monitors and confirms financial condition and manages risk by conducting or arranging audits.
– Prepares budgets by establishing schedules, collecting, analyzing, and consolidating financial data, recommending plans.
– Achieves budget objectives by scheduling expenditures, analyzing variances, and initiating corrective actions.
– Prepares special reports by collecting, analyzing, and summarizing information and trends and presents findings and recommendations to management.
– Complies with United States Generally Accepted Accounting Principles (US GAAP), federal, state and local legal requirements by studying existing and new legislation, anticipating future legislation, and forcing adherence to requirements, filing financial reports, and advising management on needed actions.
– Oversees the utilization and practical application of information technology by assuring the company is well equipped with the appropriate hardware and software to meet production and corporate requirements.
– Responsible for establishing and maintaining a prudent internal control environment.
– Trains and develops subordinate staff.
– Support all company safety and quality programs and initiatives.
– Other responsibilities may be assigned from time to time as needed, based on the evolution of the company and the requirements of the department/position.
– May perform other duties and responsibilities as assigned.
Education & Experience Requirements
– Bachelor’s degree (BS) in Finance/Accounting or Business Administration required. Master’s degree preferred.
– CPA or CMA preferred
– Minimum 5 years of related; preferably in public accounting
