Responsibilities:
- Under limited supervision, performs moderately complex clerical invoicing duties, which may include maintenance and preparation of invoice approval records.
- Audits invoices against purchase orders and subcontracts.
- Completes documentation to support accounts payable and other disbursements.
- Codes cost data distribution to the correct subcontract line item.
- Traces, identifies, and adjusts records as appropriate.
- Maintains purchase order/subcontract files and records (electronically).
- Prioritizes and processes invoices in a timely manner.
- Enters requisitions into computer purchasing system (JAMIS) and Share Point database.
- Amends purchase orders in JAMIS.
- Enters OSHA information into an Access database.
- May write and/or update desktop procedures for assigned tasks.
- Run procurement reports as necessary.
- May use government purchase card, as assigned.
- Assures accuracy of information as related to purchase orders/subcontracts.
- Works closely with accounts payable.
- Other duties as assigned.
Requirements:
Minimum Qualifications:
- High school diploma, or equivalent, and at least 3 years experience required.
- Ability to select from a variety of established procedures to accomplish assigned tasks.
- High level of attention to detail on repetitive tasks involving numbers.
- Intermediate computer skills, specifically with a procurement system, JAMIS is a plus.
- Ability to apply moderate and some advanced clerical skills.
- Ability to perform duties and tasks that are varied but standardized.
- Ability to perform some more advanced functions.
- Ability to resolve routine questions and problems while referring more complex questions to higher levels.
- Level of language skills, mathematical skills, communication skills, reasoning ability and computer skills necessary to perform essential functions of the job.
