This position is part of the City Clerk team and provides administrative support to the City Clerk, the Deputy City Clerks, and the Records Manager.

This position is part of the City Clerk team and provides administrative support to the City Clerk, the Deputy City Clerks, and the Records Manager. This position will be 40 hours per week for an unknown duration. A five (5) month assignment is anticipated. The candidate should have previous experience in performing specialized office tasks and need only short introduction to specific procedures, forms and processes of assigned position. Responsible for performing a variety of routine administrative support functions including answer and direct telephone calls; provide customer service to visitors and staff; compose, update and proofread a variety of documents, correspondence, reports, bulletins, notices, agendas, minutes, and forms; records management including scanning, compiling, organizing, tracking, and filing official records of the City in both in paper and electronic format; complete special projects as assigned; maintain calendars and schedule meetings and events; reserve and prepare meeting rooms; purchase and maintain inventories of office and operating supplies; data entry of payroll, accounts payable, and office supplies ordering; prepare mailings and maintain contact information; and general clerical duties such as copying, filing and processing mail.

High school graduation or equivalent supplemented by one (1) year of administrative support and/or customer service experience. Knowledge of: Modern office technology and equipment including computers and related software, principles and procedures of customer service, records management and basic accounting practices, budgeting practices and processes, inventory control, English usage, spelling, grammar and punctuation, general mathematics, business writing and report preparation, and spreadsheet applications. Ability to: Perform multiple tasks while responding to interruptions, type at a speed necessary for successful job performance, learn and utilize various software applications, learn department policies, procedures, organization and operations; compile and maintain documents, reports and records; respond to requests and inquiries from the general public, City Departments and internal staff, understand and carry out oral and written directions; communicate clearly and concisely, both orally and in writing; establish and maintain effective working relationships with those contacted in the course of work.

Physical Conditions: Work is performed in an office environment and is generally sedentary; primary functions require physical condition necessary for sitting for prolonged periods of time, light lifting, repetitive motions, extensive use of computer keyboard; ability to lift 30 lbs.
