Position is 25 hours per week with potential of increasing to 30.

Duties:
Serve as staff for the Downtown Grand Junction Business Improvement District (BID) to coordinate, produce and manage special events; assist in marketing including social media and website maintenance and securing event sponsorships; coordinate and manage all logistics of event production and execution, including securing necessary permits, processing vendor applications, supervising and directing seasonal and permanent part-time event staff responsible for event implementation, and coordinating with applicable City of Grand Junction departmental staff; prepare, manage, and track budgets for each event; serve as BID Liaison with the Grand Junction Visitor and Convention Bureau and Special Event Task Force; provide input, assistance and oversight to third-party producers of non-BID Downtown events; solicit and coordinate the participation of BID businesses in planning and executing events, including staffing both standing and ad hoc event committees; research special events in other communities, and collect organizational best practices and municipal policies/regulation of events; develop recommendations for improving events and event policies; attend and participate in regional meetings and conferences concerning Business Improvement Districts and their special event programming and production; assist in the office with gift card sales and customer service; perform other duties as assigned.
Qualifications:
Two years of increasingly responsible experience in special event management and production including experience with website management and maintenance as well as contracts and contract management. Equivalent to a Bachelor's degree from an accredited college or university with major course work in business, public administration, marketing, or a related field is preferred.
Knowledge of: Special event management and marketing best practices; principles and practices of public relations and public speaking/presentation; principles of business letter writing and basic report preparation; pertinent Federal, State and local codes, laws and regulations.
Ability to: Work with diverse constituencies that may possess competing objectives; be highly organized and plan multiple events at once; develop annual budgets, budget reports, and progress reports as requested; prepare and present clear and concise reports; communicate clearly and concisely, orally and in writing; market events in all types of media including social media formats; work closely with staff and consultants to maintain and update Downtown Grand Junction website; establish and maintain effective working relationships with those contacted in the course of work; work flexible hours to accommodate special events.

Event Coordinator – University Center - Grand Junction, CO
Event Coordinator – University Center
Reporting to the Director of University Center, this full-time Event Coordinator is responsible for developing and servicing both on- and off-campus University Center (UC) clients. Serves as liaison between a variety of off-campus clients and on-campus community to assure successful event executions. The coordinator works directly with the UC director to plan and oversee events, including evenings and weekends, and ensures outstanding customer service. Additionally, this coordinator develops marketing publications, serves on committees and works closely with clients and campus needs to optimize usage of UC space.
Some of the Event Coordinator's essential duties and responsibilities include:
1. Proactively researches, coordinates and implements UC marketing strategies and materials to promote the UC and other campus venues to generate interest among clients.
2. Schedules all client meetings, events, and room reservations. Generates layouts and rate quotes.
3. Manages client events by understanding the scope of the event, time lines, and by determining facility and technology needs. Communicates client needs and is the onsite event contact for large evening and weekend events.
4. Responsible for creating timely and accurate invoices for clients.
5. Works directly with Catering Services on clients' food requests.
6. Assists in the recruiting, hiring, and supervision of the UC student utility crew.
7. Reviews event sheets to familiarize self with events and meetings occurring in the UC; ensures that facility appearance and event setups are consistent with requests. Coordinates technical, facility, and custodial needs during evening/weekend hours' usage.
8. Understands how to work all Audio Visual (A/V) equipment within the building, and ensures that all UC staff and students are able to use the systems. Manages A/V equipment inventory, maintenance and repair.
9. Cross trains in executing large on-campus client events in order to provide backup support for the department.
REQUIRED:
1. Bachelor's degree from an accredited institution
2. A minimum of one year of experience in event planning and management
3. Demonstrated experience in budget, marketing, and personnel
4. Experience with and knowledge of A/V technology
5. Excellent customer service, communication, organization, and problem solving skills
6. Attention to detail and ability to manage multiple tasks at the same time
7. Sound computer and administrative skills
8. Demonstrated ability to positively represent the UC and Colorado Mesa University
9. Flexibility to work many evenings and weekends
DESIRED:
Familiarity with office procedures and scheduling software such as College Net 25 Live
SALARY: Commensurate with education and experience. Excellent health and retirement benefits package.
